Organize reservations with labels

Overview

Reservation labels allow teams to categorize and manage reservations based on variables that are important to their operations.

Whether it's distinguishing high-priority guests, identifying long-term stays, or flagging VIP bookings, reservation labels help streamline the way teams handle different types of reservations. Teams can either manually apply labels to reservations or set up conditions for automatic labeling, ensuring that bookings are organized and prioritized according to their specific needs.

Workflow

Reservation labels offer two methods for managing bookings:

  1. Auto-Labeling with Conditions:

    • Set specific conditions to automatically apply labels to reservations. For example, you could create an auto-label rule that applies the "Big Ticket Guest" label for any booking that is greater than 20 nights or has a reservation price of $10,000 or more.

    • This feature ensures that important reservations are flagged without manual input, improving the efficiency and consistency of how your team manages bookings.

  2. Manual Labeling:

    • Teams can also manually apply reservation labels directly from a conversation. This option is useful for unique or irregular bookings that don't fit predefined criteria but still require attention or specific management. A good example is "Family Stays" or "High-Allergen Guest"

In both cases, you can filter reservations by labels through filters or shortcuts. This makes it easy to pull up all bookings that fit a certain label, helping teams prioritize guest management based on the type or importance of the reservation.

Set Up

Configuring reservation labels is a straightforward process that can be customized to suit your team's needs:

  1. Create a New Label:

    • Navigate to Settings > Reservation Labels.

    • Click on New Label to create a label. Give it a descriptive name and select an appropriate emoji to make it visually distinguishable.

  2. Set Conditions for Auto-Label On/Off:

    • If you want to use the auto-label feature, toggle on Auto-label with a Rule.

    • Define the conditions under which the label should be applied. For example, you can set conditions based on Booking Channel, Number of Nights, or Total Price.

    • Combine conditions using "AND" or "OR" operators to fine-tune the auto-labeling criteria. For instance, you could label all Airbnb bookings that are over 7 nights with "Big Ticket Guest."

  3. Save and Apply:

    • After setting up the label and its conditions, click Save to apply the new label configuration. The auto-label feature will begin tagging applicable reservations, and manual labels can be applied in ongoing conversations.
