Custom Fields allow you to add tailored attributes to your contact types, making it easier to organize, display, and access relevant information in the inbox sidebar. Whether it’s tracking a homeowner’s deal status or identifying the support rep assigned to a specific guest, these fields help streamline communication and provide essential context for each conversation.
By defining these attributes in HostAI, you can customize the sidebar layout, ensuring the most critical information is front and center.
Setting up Custom Fields is straightforward. Here’s how you can get started:
Navigate to Custom Fields Settings:
Go to Settings > Custom Fields
from your sidebar.
Click on Create Attribute
to add a new custom field.
Create an Attribute:
You can select from a list of predefined types, such as:
Text for custom notes or URLs.
Number for quantitative values like ratings.
Checkbox for yes/no answers.
Date for tracking specific dates or follow-ups.
Phone Number for adding contact numbers.
Member to assign workspace members.
Select/Multi-Select for dropdown options.
Give the attribute a Name that reflects its purpose (e.g., “Deal Stage” or “Assigned Support Rep”).
Customize the Sidebar:
Once attributes are created, go to the Customize Sidebar
section.
Drag and drop the attributes to arrange them or add them to specific sections like “At a Glance” or “Details.”
Save your changes to see them reflected immediately in the inbox sidebar.
Populating and using Custom Fields effectively depends on your day-to-day interactions:
Automatically Populate Fields:
Many fields, like contact info or previous interactions, are filled automatically when you sync contacts from integrated channels like WhatsApp, Email, or PMS.
Manual Updates:
You can manually update fields directly from the contact’s sidebar by clicking on the attribute and entering the information (e.g., adding a phone number or updating the deal status).
Use Cases for Custom Fields:
Track the status of homeowner leads with a “Deal Stage” attribute.
Assign and display the Customer Support Rep for easy visibility during conversations.
Monitor key contact dates, like the “Last Contacted Date,” to ensure timely follow-ups.
Flag specific contacts with a checkbox attribute for VIP guests or urgent inquiries.
