Receiving Emails in HostAI

Set up email forwarding to receive your company emails directly in your HostAI inbox

Overview

Email forwarding allows you to receive all your company emails within HostAI.

By forwarding emails from your company’s email addresses (ie. bookings@avantstays.com, homeowners@avantstays.com, hello@avantstays.com) to your HostAI inbound address, you centralize conversations for easier tracking, tagging, and response handling.

Whether you use Google Workspace, Microsoft 365, or another provider, HostAI ensures your team is always connected and able to respond efficiently.

Set Up

To receive emails, you need to set up email forwarding from your company’s support email address (e.g. help@yourcompany.com) to your HostAI workspace’s inbound email address. Your workspace’s inbound email address ends with @inbound.postmark.app and can be found in under SettingsEmail.

This assumes you use Google Workspace (formerly called Google Apps) to manage your domain’s emails.

If your email provider is not Google, you can still set up email forwarding in different ways, such as with your domain registrar (e.g. DNSimple) or your email provider (e.g. Microsoft 36)

  1. Go to your Gmail routing configuration

You can find this here: https://admin.google.com/u/0/ac/apps/gmail/defaultrouting

  1. Add a new rule

Under “Default routing” click on “CONFIGURE” or “ADD ANOTHER RULE”

  1. Set the recipient

In the dropdown, select “Single recipient” and write your support email address under “Email address”

  1. Check the box `Change envelope recipient`

  2. Replace the recipient`

Choose “Replace recipient” and paste the inbound email address (@inbound.postmarkapp.com)

  1. Set who the rule applies to

Scroll further down, and choose “Perform this action on non-recognised and recognised addresses”

  1. Click on `Save`

…done!

If you have existing email routing rules they can sometimes conflict with ones you add for HostAI. For optimal reliability always reorder the HostAI ones to apply first.
